This is an important role for someone who understands the details behind successful construction projects and takes pride in accuracy, organization, and follow-through. • Assist Project Managers with project cost reporting, budget reconciliation, forecasting, and financial reviews.
  • Set up and maintain project contracts, subcontracts, purchase orders, professional service agreements, and related change orders.
  • Process owner and subcontractor change orders and maintain accurate contract values and project financial records.
  • Review subcontractor and vendor invoices for completeness, accuracy, proper approvals, and compliance with contract requirements.
  • Coordinate subcontractor payment processing and ensure required documentation is received prior to payment.
  • Track subcontractor and sub-tier lien waivers and follow up on outstanding or incomplete documentation.
  • Maintain accurate project accounting records within Vista (formerly Viewpoint) and ensure information is consistent across project systems.
  • Work within Procore and other project management systems to coordinate financial information and project documentation.
  • Monitor project accounts receivable and assist with resolving billing or payment issues.
  • Support project closeout by reconciling commitments, final billings, lien waivers, and other required financial documentation.
  • Communicate regularly with Project Managers, subcontractors, vendors, clients, and internal Accounting team members to resolve project accounting issues.
  • Maintain organized, complete, and audit-ready project financial records.
  • Identify discrepancies or potential financial issues and work proactively with project teams to resolve them.
  • Support company accounting processes, controls, and reporting requirements while maintaining a high level of accuracy and confidentiality.

What we’re looking for:

The ideal candidate will bring construction accounting experience, strong attention to detail, and the ability to manage multiple priorities while working closely with both Accounting and Operations.

Qualifications include:

  • Minimum of 2 years of experience in project accounting, construction accounting, job cost accounting, or a similar role.
  • Experience working for a general contractor is strongly preferred.
  • Hands-on experience with Vista (formerly Viewpoint) is required.
  • Experience with Procore is preferred.
  • Experience with construction job costing, owner billing, subcontractor payments, change orders, and lien waiver tracking.
  • Strong numerical, analytical, reconciliation, and problem-solving skills.
  • Understanding of construction contracts, subcontracts, purchase orders, and project accounting processes.
  • Strong attention to detail with a commitment to accurate and timely work.
  • Excellent written and verbal communication skills.
  • Ability to prioritize responsibilities and manage accounting activities across multiple projects simultaneously.
  • Ability to work independently while collaborating effectively with Project Managers, Accounting, and other team members.
  • Intermediate to advanced proficiency with Microsoft Office, particularly Excel.
  • Dependable, organized, adaptable, and comfortable working in a fast-paced construction environment.
